Terms of service

Last updated: [date]

These terms apply to every service Polyglot Connect Limited (company number 822572, registered in Ireland) provides: translation, certified translation, interpreting, transcription, multilingual information, subtitling and intercultural training. By accepting a quote or booking a service, you agree to them.

1. Quotes

  • Quotes are free and valid for [30] days.
  • Each quote is based on the document, language pair, subject and deadline you give us. If the final material differs, we will tell you the new price before starting.
  • Prices are in euro and [include / exclude] VAT where VAT applies.

2. Orders

An order is confirmed when you accept our quote in writing (email is enough) and, where required, pay any deposit. Work starts only after confirmation.

3. Payment

  • Individuals: payment in full before delivery, unless agreed otherwise.
  • Organisations: payment within [30] days of the invoice date.
  • We accept [bank transfer, card and other methods].
  • Late payments may incur interest under the European Communities (Late Payment in Commercial Transactions) Regulations 2012.

4. Your responsibilities

  • Send clear, complete and legible documents.
  • Tell us how and where the translation will be used, for example immigration, court or university.
  • Give us the correct spelling of names, places and any preferred terminology.
  • Make sure you have the right to share the documents and any third-party personal data in them.

5. Certified translations

  • A certified translation includes a signed statement that it is a true and accurate translation of the original.
  • We translate what the document says. We cannot verify that the original is genuine or confirm the facts it contains.
  • Each authority sets its own requirements. Check them before ordering, and tell us if notarisation or a sworn translation is needed. If you are unsure, ask us before you order.

6. Accuracy guarantee and corrections

If you find an error in our translation, tell us within [14] days of delivery and we will correct it free of charge. If an authority rejects a certified translation because of a translation error on our part, we will correct and reissue it free of charge. This guarantee does not cover changes to the original text, new instructions or errors in the source document.

7. Interpreting bookings

  • Bookings include the date, start time, location or video link, language, dialect and setting.
  • The minimum booking is [1 hour] for remote and [2 hours] for face-to-face interpreting. Travel time and expenses may apply outside [area].
  • Interpreters stay impartial. They interpret everything said, do not give advice and do not take part in the conversation.

Less than [24] hours, or no-show[100]% of the booking

If we must cancel, we will try to provide a replacement interpreter. If we cannot, you pay nothing for that booking.

8. Intercultural training

  • Training content, slides and materials remain our intellectual property. Participants may use them for their own learning, but may not copy, resell or redistribute them.
  • Cancellations: free more than [14] days before the session; [50]% between [7] and [14] days; full fee less than [7] days before.
  • Training gives general guidance on cultural context and communication. It is not legal, medical or immigration advice.

9. Confidentiality

We treat all documents, recordings and conversations as confidential. Every linguist we work with is bound by a written confidentiality agreement. Our privacy policy explains how we handle personal data.

10. Delivery

We deliver by the agreed deadline. Deadlines are estimates and can change if the material is larger or harder than described, or if you are late providing information. We will tell you as early as possible if a delay is likely.

11. Liability

  • Our total liability for any claim is limited to the fee paid for the service concerned.
  • We are not liable for indirect losses, or for losses caused by incomplete or inaccurate information you gave us, or by how a third party uses or assesses the translation.
  • Nothing in these terms limits liability that cannot be limited under Irish law, including your statutory rights as a consumer.

12. Complaints

If you are unhappy with our service, contact hello@polyglotconnect.info. We will acknowledge your complaint within [2] working days and aim to resolve it within [14] days.

13. Governing law

These terms are governed by Irish law, and the Irish courts have jurisdiction over any dispute.
